With several hundred employees and a growing portfolio, Ithemba’s operations span from residential development to full-service property management. Their core mission is to build sustainable, community-oriented housing solutions that balance affordability with professionalism, while acting as landlord, developer, and overseer in all aspects of property lifecycle.

# The brief/problem
Purpose-Built PropTech for a Leading Property Business
As one of South Africa’s leading property companies, Ithemba Properties has consistently embraced technology to support its operations. Over time, the company adopted multiple trusted off-the-shelf platforms to manage key aspects of the lead-to-lease journey, from tenant engagement to lease execution and compliance tracking.
However, as their portfolio expanded and operational complexity grew, the limitations of generic systems became increasingly apparent. Managing multiple platforms across teams introduced inefficiencies and rising licensing costs. Processes such as tenant onboarding, deal approvals and lease lifecycle management, while functional, required significant manual coordination, limiting scalability and responsiveness.
Recognising an opportunity to optimise performance and future-proof the business, Ithemba made a strategic decision to invest in a custom-built CRM/ERP system explicitly tailored to their operational workflows. This new system was designed to automate routine tasks, integrate seamlessly with internal business logic and reduce reliance on disparate tools, all while maintaining a human touch where decisions and relationships matter most.
By aligning technology to the business, rather than adjusting the business to fit software, Ithemba laid the foundation for scalable, efficient operations powered by a platform built for its unique needs.

From Multiple Tools to One Seamless System
Clickmod partnered closely with Ithemba Properties to lead them through our structured Product Design-Led Framework. This process began with hands-on workshops focused on deeply understanding their business operations and the nuances of their lead-to-lease lifecycle. These sessions laid the foundation for a modern, intuitive user interface aligned with their internal workflows and processes.
At the core of the solution is a fully custom-built CRM/ERP platform. This internal portal acts as the central control system for the entire organisation, managing everything from lead capture to final lease agreements. Unlike generic off-the-shelf solutions, the platform was specifically designed to reflect Ithemba’s operating model, ensuring tight alignment between technology and business logic.
To elevate the user experience and improve operational efficiency, Clickmod integrated advanced features such as WhatsApp-based engagement bots, real-time in-platform messaging, a dynamic stock availability engine and automated workflows with service-level tracking. These capabilities ensure that processes are not only streamlined but also transparent and trackable across teams.
The solution is powered by a robust suite of Microsoft Azure cloud services, allowing for secure deployment, seamless scalability and high availability across regions. This enabled Ithemba to grow its operations without increasing staff overhead, demonstrating how well-architected technology can unlock scale.
Clickmod managed the full technology stack, from designing the backend system architecture and APIs to delivering a fast, responsive frontend experience. The new platform eliminated the need for multiple legacy tools and significantly reduced the company’s monthly licensing costs.
